How to Brief a Custom AI Photo Activation

A useful activation brief does not need to contain a finished creative concept. It needs to explain the audience, the intended experience and the constraints the production team must work within. That gives creative development somewhere specific to go.

For a corporate AI photo activation, the most important starting question is not “Which background do you want?” It is “What should this experience do for this event?” A portrait-led conference experience and a personalized product-launch card can both involve AI images, while requiring different creative and production decisions.

START WITH THE EVENT'S PURPOSE

Describe who will participate and why the experience belongs in the program. Are guests being introduced to a brand idea, taking part in a shared theme, or receiving an individual portrait or persona? Choose the primary purpose before listing every possible output.

Also define what success would look like to your team. Participation, usable outputs, opt-in leads and post-event content are different goals. If a metric matters, ask how it will be measured and what permissions or implementation it requires. Do not assume that delivery of an image also means delivery of marketing consent or campaign attribution.

SEPARATE FIXED BRAND ELEMENTS FROM PERSONALIZED CONTENT

Identify the elements that must remain consistent: logo treatment, colors, typography, approved terminology and any required message. Then identify the elements guests can influence, such as a creative direction, a title or selected descriptive fields.

Survey responses can inform prompts, change an avatar direction or populate fields, but the form should serve the experience. Adding questions without a clear purpose makes the brief more complicated without necessarily improving the result.

Provide your brand guidelines and a small set of references with an explanation of what you like in each. “The restrained layout” or “the editorial lighting” is more actionable than asking a team to reproduce another campaign.

DESCRIBE THE WHOLE GUEST JOURNEY

Map the intended sequence: invitation, participation, capture or input, output review, delivery and exit. State which parts must happen at the activation and which could happen elsewhere.

Share the attendance estimate, expected participation and the actual window in which guests are likely to arrive. If there is a reception before a presentation, explain that timing. Total event duration alone does not describe the demand on the experience.

State how guests should receive and use the result. The delivery approach needs project-specific confirmation.

PUT APPROVAL AND PROCUREMENT INTO THE BRIEF

Name the person who can approve the creative, the person who owns event logistics and anyone whose privacy, security or procurement review is required. A shared approval schedule helps identify dependencies before the event date becomes the deadline for everything.

List the venue's known requirements without guessing missing specifications. Ask the producer to confirm power, space, connectivity, access and setup timing against the chosen workflow. International or multi-city briefs should include the actual destinations and dates; a creative concept does not establish local production availability.

Unknown answers are useful too. Mark them as unresolved so the next conversation can focus on them. A clear brief should reduce ambiguity, not pretend every production decision has already been made.
